Terms of service
Terms of use of teamworkbot (https://vps.teamworkbot.com), provided by Gabriele Ferrari, VAT no. 03615520362. Version of 2026-11-01.
1. The service
teamworkbot provides a team of bots based on artificial intelligence models that work at the customer's request: they reply in chat, prepare texts, documents and drafts, read the sources the customer connects (email, calendar, vault, external services) and carry out outbound actions only after the customer's approval, except for the automatic approval rules the customer sets up.
2. Who it is for
The service is intended for professionals and businesses, who use it for their own work. By signing up you declare that you are at least 18 years old and, if you act on behalf of an organisation, that you are authorised to bind it.
3. Account and security
- Access is personal: do not share your password. To give other people access, add them as members of the space.
- You are responsible for the activities carried out with your account and for the credentials of the services you connect.
- Let us know immediately at support@teamworkbot.com if you suspect unauthorised access.
4. Artificial intelligence output
The bots' texts, analyses and proposals are generated automatically and may contain errors or out-of-date information. They must be checked before use, especially for legal, tax, medical or financial decisions. That is what approvals are for: sending emails, payments and other outbound actions remain your decision.
5. Acceptable use
You may not use the service for unlawful activities, to send unsolicited bulk communications, to infringe third-party rights, to circumvent security measures or to upload content you are not entitled to process. In these cases we may suspend the account, after notifying you where possible.
6. Your content
The content you upload and the content the bots produce for you remains yours. You grant us only the use needed to provide the service. We do not use it to train models and we do not show it to other customers: each space is separate.
7. Costs
Plans, prices (VAT excluded) and the model usage they include are published in the guide and form part of these terms. The subscription is monthly and renews automatically every month until you cancel it; you can cancel at any time by writing to support@teamworkbot.com, effective at the end of the month already paid. Model usage beyond the amount included in the plan is invoiced at the end of the month, at € 1.25 for every dollar of usage; image and video generation at the estimated cost plus 25%. The set-up fee of the Managed plan is paid once and is not refundable once set-up has started. We issue electronic invoices.
Consumption of models and connected services is shown in Activity and costs; the space's monthly budget stops the bots when it is reached.
8. Availability and changes
We do our best to keep the service always available, but there may be interruptions for maintenance or problems with providers (hosting, models, connected services). We may update the features of the service; substantial changes to these terms will be notified to you by email at least 30 days in advance.
9. Liability
To the extent permitted by law, we are not liable for indirect damages or for damages resulting from the use of the bots' output without checking it, from actions you approved or from third-party services you connect. Our total liability towards you is limited to the amounts you paid us in the 12 months preceding the event. Liability for wilful misconduct or gross negligence remains unaffected.
10. Term and closure
You can close your account at any time by writing to support@teamworkbot.com. On closure we delete the data as described in the privacy policy; before that you can ask for a copy.
11. Processing of data on behalf of the customer (Art. 28 GDPR)
For the personal data of third parties that you process with teamworkbot, you are the controller and you appoint the provider as processor. The provider:
- processes the data only to provide the service and according to your instructions, that is, your requests to the bots and the settings of the space;
- ensures the confidentiality of authorised persons and adopts the security measures described in the privacy policy;
- accesses the content of your space only for support, maintenance and security, read-only, and every access is kept in the space's audit log;
- uses the sub-processors listed in the privacy policy, which you authorise in general terms; it informs you of changes and you may object by withdrawing;
- assists you in responding to data subjects' requests and in impact assessments, as far as it is concerned;
- informs you without undue delay, and in any case within 48 hours of becoming aware of it, of a personal data breach;
- at the end of the service deletes the data, unless required by law, and makes available to you the information needed to demonstrate compliance with these obligations.
12. Governing law and jurisdiction
Italian law applies. The court of Modena has exclusive jurisdiction over any dispute.
